    Warehouse Academy Pty Ltd (Warehouse Academy, we, us, our) is a recruitment and placement coordination business. This Privacy Policy explains how we manage personal information, including how we collect, use, store and disclose it, and how you can access or correct it or make a complaint.

  2. What personal information we collect
    We may collect personal information including:
    a) contact details (name, phone, email, suburb)
    b) work history, skills and experience
    c) licences, tickets and qualifications relevant to roles (for example forklift licence)
    d) availability, shift preferences, location preferences and role preferences
    e) right to work evidence and verification status
    f) referee details and reference feedback where you authorise reference checking
    g) recruitment activity details (applications, interviews, outcomes, notes about suitability for roles)
    h) placement administration details where relevant, including start date confirmations, employment status updates and payslips or payroll summaries provided by the employer for legitimate placement administration support

We do not request tax file numbers.

  1. Sensitive information
    Some roles or sites may require checks such as police checks, pre-employment medical or functional assessments, and drug and alcohol testing. Where we coordinate these checks, we may handle sensitive information to the extent reasonably necessary for recruitment or placement administration support, and we will only do so with your consent or as otherwise permitted by law.

  2. How we collect personal information
    We collect personal information directly from you (for example via forms, SMS, email, phone calls and interviews). We may also collect information from third parties where appropriate, such as referees you provide, employers or host sites you interview with, check providers (where you have consented), and Workforce Australia providers involved in your placement administration support where relevant.

  3. Why we collect, use and disclose personal information
    We collect, use and disclose personal information to:
    a) provide recruitment services, including representing candidates to employers, arranging interviews and communicating outcomes
    b) verify licences, tickets and right to work where relevant
    c) conduct reference checks where authorised
    d) coordinate role-required checks (police, medical, functional, drug and alcohol) where required and where you have consented
    e) support legitimate placement administration where a Workforce Australia provider is involved, including confirming interview and offer outcomes, start dates, employment status updates, and providing payslips or payroll summaries obtained from the employer where required for placement administration support
    f) improve our services and manage risk, quality and compliance

If you do not provide information we reasonably require, we may be unable to represent you for roles, coordinate required checks, or provide placement administration support.

  1. Who we disclose personal information to
    We may disclose personal information to:
    a) prospective employers and host sites for recruitment purposes
    b) referees you nominate (to obtain reference feedback)
    c) check providers for police checks, medical or functional assessments, and drug and alcohol testing where required and where you have consented
    d) Workforce Australia providers involved in your placement, where relevant for legitimate placement administration support
    e) our service providers that support business operations (for example, IT, cloud storage, communications, and systems support) where needed to provide services securely

  2. Overseas disclosure
    We use Microsoft 365 and related systems to store and manage information. Our data is intended to be stored in Australia based on our tenant settings. Depending on the service and how it is provided, information may be processed or accessed from other locations (for example, for support, security, or service delivery). If we become aware of a material overseas disclosure arrangement, we will update this policy.

  3. Storage and security
    We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. We restrict access to authorised staff and use secure systems and processes appropriate to the sensitivity of the information.

  4. Retention and destruction
    We keep personal information only for as long as needed for the purposes described in this policy, unless we are required or authorised by law to retain it longer. Unless you request earlier deletion (and deletion is lawful and practicable), we retain candidate recruitment records for up to 5 years from the last interaction or last placement activity, then securely destroy or de-identify the information.

  5. Access and correction
    You may request access to personal information we hold about you and request correction if it is inaccurate, out of date, incomplete, irrelevant or misleading. To request access or correction, contact us at admin@warehouseacademy.com.au.

  6. Complaints
    If you have a privacy complaint, contact us at admin@warehouseacademy.com.au with details of your concern. We will acknowledge your complaint and respond within a reasonable timeframe. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC).

  7. Updates
    We may update this Privacy Policy from time to time. The latest version will be available on our website.
